Your step by step
Seven things between today and the first weekend. Four of them are yours alone — an account, a message, a signup, a decision — and the rest is already built and waiting.
Ask Shelton for weekendyard@sheltonafterschool.com first — a school address on a flyer beats a Gmail. If that is slow, weekendyarddoral@gmail.com. Five minutes, and it needs a phone to verify, so it has to be you.
The five-minute guideOne WhatsApp message to the team, in Spanish. Staff hearing about this from a parent at pickup is the one outcome worth avoiding. The flyer is a JPG so it opens on any phone.
The announcement post, on @theweekendyarddoral. Then three a week, Tuesday, Thursday and Saturday, for five weeks — every image and caption is already written and dated.
The dated calendarOpen a free WaiverForever Starter account, paste in the waiver text, and put the link it gives you into the booking app. Until that link exists, no booking can be confirmed.

The processFrom the form to the party
Seven steps, and the booking app carries the paperwork. The only two rules worth memorising: answer the same day, and nothing is confirmed until the deposit has landed and the waiver is signed.
Somebody fills in the form on the website and it lands in the Inbox tab of the booking app, with a red count on the tab so you can see it from the top of the screen. If they call or text 970 376 5286 instead, open the app and press + New yourself.
This is the whole game. A parent asking about a birthday is asking three places at once, and the first real answer usually wins. Give the date, the space and the price in writing — template 1 below. Even “let me check and come back to you tonight” beats silence.
In the Inbox, press Make a booking. Everything they typed — name, phone, date, space, how many guests — copies across into a new booking and the enquiry is marked handled, so it can’t be worked twice. Set the status to held, write the hold expiry in the notes, and send template 3: the deposit and the waiver link.
30% plus the $200 damage deposit, by Zelle. Log the payment in the app the day it lands. Tick the waiver box once they’ve signed. The app will not let you mark a booking confirmed until the waiver is ticked — that is deliberate, and it is not a bug to work around. Then send template 4.
Balance due, same Zelle. Same message asks for the certificate of insurance for any caterer, bounce house or DJ. Nobody comes on campus without one, however nice they sound on the phone.
Be there 30 minutes before they arrive. Walk the space with them at the start and at the end — two minutes each, and it settles every damage-deposit argument before it happens. Take photos: the first parties are where the Instagram grid comes from.
Send the $200 damage deposit back, mark the booking done, and send template 6. Asking for a photo and two lines about how it went costs you two minutes and is where repeat bookings come from.
Copy, fill in the blanks, send
Every one has a Spanish version. Reply in the language they wrote in — the booking app puts an ES tag on the card when somebody used the Spanish form. The names, dates and prices in these are examples; change them.

These are not interchangeable. The Weekend Yard posts are our brand. The Shelton After School posts are drawn in their house style and go on their account. Never post one set to the other account.

Two things that run
One page, mobile-first. Every Check a date button dials 970 376 5286, and the Enquire section is a form — name, date, space, guests, occasion — that lands straight in the booking app's Inbox. English and Spanish, one toggle in the menu.
Live now at the-weekend-yard.pages.dev. Put that address in both Instagram bios.
A single file — save it, open it, it works. List, colour-coded calendar and money views. It enforces the two rules that matter: no double-booking a space, and no COI, no access.

Quick reference
Rule: the bright colours are for shapes, dots and chips — never for text. Every word is Ink or Deep grass.

After School is the operator — and is already open to the public, which is what lets us market beyond Shelton families. The Academy is the campus.
